Post a ticket to the [mailto:support@nescent.org RT ticket system]. Indicate if the issue is urgent or high-priority. Issues that prevent you from doing your work are high-priority. Use a concise subject for the email.
+
===Who is the computer support person===

RT will issue you a username and password upon your first ticket. Please [https://help.nescent.org/ log into RT] and change your password to one you can easily recall.
+
[mailto:jack@nescent.org Jack D'Ardenne] is NESCent's computer support person and located in office A212. His phone number is 919-668-6520. You may dial just 86520 from any phone within NESCent.

You can also create tickets [https://help.nescent.org/ directly in RT] if you have received a username and password previously.
+
===Who is the system administrator===

In case of an emergency, stop by Jon Auman's office during working hours, or call the IT emergency number 919-668-9105 (89105 from within NESCent) during off-hours. It will ring to the NESCent IT person on call, currently usually Jon Auman.
+
[mailto:jonauman@nescent.org Jon Auman] is NESCent's sysadmin and located in office A212. His phone number is 919-668-9104. You may dial just 89104 from any phone within NESCent.

If you don't need immediate attention to your problem, creating a trouble ticket is the  best way of making sure your issue will be tracked, communicated, and resolved, as well as providing us with the ability to allocate our time most effeciently.

===How to get help for IT-related problems===

==Getting set up==
+
Send an email to [mailto:support@nescent.org support@nescent.org] with a succinct description of the problem in the subject. Your email will automatically be entered into an issue tracking system called RT, which will issue you a username and password upon your first ticket. You may ignore this account as RT can handle all ticket-related communication through its email gateway. If desired, you can use your account to obtain a full display of your ticket's history with all communication.

===Obtain a Duke NetID ===
+
If you need help immediately, stop by [mailto:jonauman@nescent.org Jon Auman's] office (A212) during working hours, or call the IT emergency number 919-668-9105 (89105 from within NESCent) during off-hours. It will ring to the NESCent IT person on call, currently usually Jon Auman.

The  Duke NetID is an electronic alphanumeric identifier that authenticates users to systems and services on the Duke computing network. For example, it is used to authenticate you for using the [[Cluster Nodes|high-performance compute cluster nodes]], and in the future we will also use it for authenticating users to internal applications and web resources. For NESCent fellows, the NetID will usually be associated with an email address <NetID>@duke.edu as well.
+
==Using NESCent's shared office==

Regulary paid fellows will automatically get a NetID assigned once their records are in the Duke system. Contact the OIT Help Desk at 684-2200 if you have not been notified about your NetID but should have.
+
===Using the printers===

Duke also can create NetIDs for "anyone formally associated with Duke as long as they are sponsored by a Duke sponsor." Please see [mailto:khenry@nescent.org Karen Henry] if you need to be sponsored, or if you need to sponsor visitors for receiving a NetID. The information needed from each person to be issued a NetID is documented on the [http://www.oit.duke.edu/helpdesk/netid/index.html#s5 OIT helpdesk page for NetIDs]. The Duke sponsor needs to email the information for each sponsored person to dukeid@duke.edu. Please allow 1-2 weeks of advance processing time for bulk requests. If the NetIDs are needed for access to the compute cluster, [mailto:jonauman@nescent.org Jon Auman], NESCent's [http://www.csem.duke.edu/Cluster/ DSCR] liaison, needs to transmit the NetIDs to be granted access to the HPC staff. Allow an additional week for this step to complete.

NESCent has shared B/W and Color printers located in the "mail room" (the open room adjacent to the kitchen. To use them, setup the printers as IP printers:

===Setup Duke Email===

====NESCent Black White printer (HP LaserJet 4250)====
The Duke mail server settings for an email client are:

*Incomming mail server address: ... imap.duke.edu<br>

Ensure that the connection is set to "SSL." This will change the port number to 993 instead of 143.

*Outgoing mail server address: ...... smtp.duke.edu<br>

If you are on campus, you should use this address with port number 25<br>

If you are off campus, you have two choices:<br>

* If you are setting this up on a laptop, use smtp.duke.edu and set the connection to use "SSL"

* If you are setting this up on a desktop, use your Internet Service Provider's (ISP) outgoing mail server address.<br>

EXAMPLE: If your ISP is Road Runner, the address is smtp-server.nc.rr.com<br>

All ISPs have this address usually posted in their FAQs or help sections.

===Get on the NESCent internal mailing list===

Sign up with your email address [http://lists.nescent.org/mailman/listinfo/internal on the subscription page].

Long term science visitors and staff, including students, will be signed up automatically to this mailing list, and also to the postdocs or sabbatical scholars list if appropriate.

For students, please send an email to help@nescent.org once a student leaves so that IT can remove him/her from the internal mailing list.

 +
The copier in the mail room doubles as scanner. You can have scans emailed to an address of your choice. Please follow the step-by-step instructions located on the left hand side of the copier.

===Locating network jacks===
 +
Each conference room has network jacks to plug standard ethernet cable (CAT5) into. The large conference space has network jacks in the back.

As long as you are on the WIRED network, you will be able to see the NESCent printers via Bonjour/Rendezvous service. However, this will not work under wireless. Therefore, I recommend setting up the printer as a LPD printer.
+
In order to use the wired network, your network card has to be registered with Duke. You need a Duke NetID to register a card, so as a meeting participant typically you cannot do this step yourself. See [[#Registering network cards|below]] for how to get your card registered if it is not already.

# Got to System Preferences>Print & Fax
+
===Wireless Coverage===
# Hit the + sign in the bottom left hand of the screen (to add a printer)
+
Conference rooms, breakout spaces, and all offices are covered by a wireless access point of the DUKE network, too. This network is operated by Duke University (surprise!).
# For protocol, choose Line Printer Daemon - LPD
+

# For address, type 152.3.58.90
+
There is no password or encryption required to connect, however, your network card needs be registered with Duke. You need a Duke NetID to register a card, so as a meeting participant typically you cannot do this step yourself. See [[#Registering network cards|below]] for how to get your card registered if it is not already.
# You can leave queue blank

===WebDAV shares===

The general URL is:
+
A WebDAV share is a file share that can be accessed transparently as a network drive (read/write) or through any web browser (read-only), from any location with an internet connection. It is most useful for working groups that need to upload and share data files of different types, or in large numbers (the wiki-based file upload only handles one file at a time). A working group can request a WebDAV by sending the request to [mailto:help@nescent.org help@nescent.org].
<nowiki>https://webdav.nescent.org/[sharename]</nowiki>

====MAC OS X====
+
Once created, the general URL is: <nowiki>https://webdav.nescent.org/[sharename]</nowiki>. The name of the share will be communicated by IT (and most likely will be identical to the short name of the working group).

=== Wireless access ===

I usually only register the wireless card for working groups and meetings unless the user cannot use wireless or really need wired for some reason.

# Go to [http://netreg.duke.edu/ http://netreg.duke.edu/] and click on "Enter".

# Login with your NetID

# Click "Register New Machine"

# Under Select the Subnet, Select "TLS Wireless (152.3.149.0/24)"

# Next to hostname, give it a name of your choice. I usually do like GMOD1, GMOD2, etc, using a shortname for the visiting working group. If it is a staff member, I usually use their name. The name cannot contain spaces and shouldonly contain alphanumeric characters.

# Under hardware address, paste in the users MAC address (aka hardware address) for the wireless card.

# Under affiliation, select "National Evolutionary Synthesis Center"

# Hit Continue.

# You are done, and can now logout.

Please allow about 5 minutes for the connection to become active. You may need to repair the network conneciton on windows, or deactivate and reactivate the airport under OS X.

=== Wired access ===

You should not need to do this very often, but here are the insturctions anyways.

# Go to [http://netreg.duke.edu/ http://netreg.duke.edu/] and click on "Enter".

# Login with your NetID

# Click "Register New Machine"

# Under Select the Building, Select "Erwin Square Mill"

# Next to hostname, give it a name of your choice. I usually do like GMOD1, GMOD2, etc, using a shortname for the visiting working group. If it is a staff member, I usually use their name. The name cannot contain spaces and shouldonly contain alphanumeric characters. Also, you may have a choice of which domain to use. First choice is aas.duke.edu, if not available, then bootp.duke.edu.

# Under hardware address, paste in the users MAC address (aka hardware address) for the wired network card.

# Under affiliation, select "National Evolutionary Synthesis Center"

# Hit Continue.

# You are done, and can now logout.

==Registering network cards==
 +

 +
Network cards need to be registered to [http://www.oit.duke.edu Duke OIT] in order to connect to the internet. To register your card, we need its [http://en.wikipedia.org/wiki/MAC_address MAC address]. Normally, providing your MAC address is part of the meeting preparation in advance. If you couldn't provide the address before, below is how to obtain it. Write down the address and drop it off at the system administrator, [mailto:jonauman@nescent.org Jon Auman], in room A212.

Revision as of 18:27, 2 April 2007

Documentation of how-to and frequently asked questions and answers as they pertain to meetings hosted at and/or sponsored by NESCent.

Getting IT Help

Who is the computer support person

Jack D'Ardenne is NESCent's computer support person and located in office A212. His phone number is 919-668-6520. You may dial just 86520 from any phone within NESCent.

Who is the system administrator

Jon Auman is NESCent's sysadmin and located in office A212. His phone number is 919-668-9104. You may dial just 89104 from any phone within NESCent.

How to get help for IT-related problems

Send an email to support@nescent.org with a succinct description of the problem in the subject. Your email will automatically be entered into an issue tracking system called RT, which will issue you a username and password upon your first ticket. You may ignore this account as RT can handle all ticket-related communication through its email gateway. If desired, you can use your account to obtain a full display of your ticket's history with all communication.

If you need help immediately, stop by Jon Auman's office (A212) during working hours, or call the IT emergency number 919-668-9105 (89105 from within NESCent) during off-hours. It will ring to the NESCent IT person on call, currently usually Jon Auman.

Using NESCent's shared office

Using the printers

NESCent has shared B/W and Color printers located in the "mail room" (the open room adjacent to the kitchen. To use them, setup the printers as IP printers:

Using the scanner

The copier in the mail room doubles as scanner. You can have scans emailed to an address of your choice. Please follow the step-by-step instructions located on the left hand side of the copier.

Using the shared workstation

Connecting to the wireless or wired network

Locating network jacks

Each conference room has network jacks to plug standard ethernet cable (CAT5) into. The large conference space has network jacks in the back.

In order to use the wired network, your network card has to be registered with Duke. You need a Duke NetID to register a card, so as a meeting participant typically you cannot do this step yourself. See below for how to get your card registered if it is not already.

Wireless Coverage

Conference rooms, breakout spaces, and all offices are covered by a wireless access point of the DUKE network, too. This network is operated by Duke University (surprise!).

There is no password or encryption required to connect, however, your network card needs be registered with Duke. You need a Duke NetID to register a card, so as a meeting participant typically you cannot do this step yourself. See below for how to get your card registered if it is not already.

File Shares

WebDAV shares

A WebDAV share is a file share that can be accessed transparently as a network drive (read/write) or through any web browser (read-only), from any location with an internet connection. It is most useful for working groups that need to upload and share data files of different types, or in large numbers (the wiki-based file upload only handles one file at a time). A working group can request a WebDAV by sending the request to help@nescent.org.

Once created, the general URL is: https://webdav.nescent.org/[sharename]. The name of the share will be communicated by IT (and most likely will be identical to the short name of the working group).

Connecting in MAC OS X

  1. In finder > Go > Connect to Server
  2. Type in https://webdav.nescent.org/[sharename]
    • For example, https://webdav.nescent.org/driade
  3. Accept security warning about certificate
  4. enter username and password

Connecting in Windows XP

  1. Go to "My Network Places"
  2. Add a Network Place (pulls up wizard)
  3. Click Next twice
  4. In internet or Network address box, type in https://webdav.nescent.org/[sharename]/#
    • For example, https://webdav.nescent.org/driade/#
    • (there is a bug in MS implementation of webdav client. In fact, Internet explorer and this method use two different means of connecting to webdav. go figure. Therefore, you must suffix the URL with the pound sign as a workaround to the bug.
  5. Accept certificate warning, if given.
  6. Give the share a meaningful name. Default is usually fine.
  7. Finish

Map a network drive in Windows XP

(this should only be done if you are at the NESCent facility)

  1. open "My Computer"
  2. click on "Tools" > "Map Network Drive"
  3. choose the drive letter you prefer and type the name of the share in "Folder:"
  4. check "Reconnect at logon" if you would like.
  5. click "finish"

Use audio/video conferencing equipment

Use the audio PolyCom for teleconferencing

  • Phone number is 919-668-4568

Setup

The polycom has got two peices. One piece has the phone line, and connects to the wall. This is the smaller piece. The other piece is the voicepiece that looks like a triangle.

Connect the phone cord of the smaller piece into the analog wall jack. In conference rooms #1 & #2, this jack is under the table. In #3, it is near the window. Plugin the powercord.

Sympodium

The following directions where taken from the "Sympodium ID370 Interactive Pen Display Installation Guide" which can be downloaded here http://www.nescent.org/wg/images/Sympodium_ID370_Interactive_Pen_Display_Installation_Guide.pdf

Software Installation

  • If you haven’t done so already, turn on the computer and the interactive pen display.
  • Close all open applications on the computer.
  • Insert the SMART Board software CD into the CD drive.
For most systems, the CD is self-starting. If the CD doesn’t start automatically: (Windows operating systems) select Start > Run, and enter x:\autorun.exe (where x: is your CD drive).
(Mac computers) open your CD drive, and double-click the install file.
  • Follow the on-screen instructions.
NOTE: You’ll have to use the connected keyboard and mouse, because the pen doesn’t work until the SMART Board tools are running. If SMART Board software doesn’t recognize the interactive pen display, you may have to activate the port manually using an attached keyboard or mouse. For further information, read the SMART Board software online Help. Also, if the interactive pen display is your secondary monitor, you may need to enable it in your Display Properties Control Panel.
